Code of Conduct
Code of conduct for the board, volunteers and all those acting on behalf of Stichting Support a Bit.
This code of conduct describes how the board, volunteers and all others acting on behalf of Stichting Support a Bit behave towards participants, partners, donors and one another.
Core values in practice
The work of the foundation is guided by three core values: see, connect and value. In daily practice this means:
- We listen before we judge.
- We speak with respect about and with the people for whom we work.
- We acknowledge differences and do not look past inequality.
Treatment of participants
Many of the people taking part in the foundation's activities are in a vulnerable position. The following therefore applies:
- We do not impose ourselves; we offer.
- We are clear about what we can and cannot provide.
- We do not act in someone's place unless we are explicitly asked to.
- We make no decisions about a person without involving that person.
- Where safety or wellbeing is in doubt, we engage professional help in good time.
Privacy and confidentiality
Personal data and confidential information are shared only with persons who strictly need this information to perform their work within the foundation. All those involved sign a confidentiality declaration. For the processing of personal data, the Privacy Policy applies.
Gifts and favours
Board members and volunteers do not accept gifts or favours that could influence their judgement. Small tokens of symbolic value, received in the context of a meeting or expression of thanks, are permitted. Gifts with an estimated value of more than 50 euros are reported to the chair and if necessary returned or refunded.
Conflict of interest
Anyone with a personal interest in a decision of the foundation reports this in advance and refrains from taking part in the decision. For board members this rule is also laid down in the statutes (article 8, paragraph 8).
Reporting wrongdoing
Anyone who observes wrongdoing or transgressive behaviour within the foundation may report this in a number of ways:
- Through the Complaints Procedure.
- Directly to the trusted contact person (see below).
- Where criminal acts are suspected: to the police or competent authorities.
Reports are treated confidentially. Whistleblowers are not disadvantaged.
Trusted contact person
The trusted contact person provides a safe point of contact for anyone who experiences something that does not feel right. The trusted contact person is appointed by the board and is not a member of the board. Until such an appointment is made, the secretary serves as the temporary point of contact, with due regard for the rules on confidentiality.
Compliance
This code is reviewed annually by the board and revised where needed. Everyone working on behalf of the foundation declares to be familiar with the code and to abide by its content.
